Rental Policies


ARRIVALS: CHECK-IN at our office is from 4:00 pm to 6:00 pm Monday to Saturday unless otherwise agreed to in writing and by appointment on Sunday and Holidays. Diamond Beach guests will check-in directly at the resort (10327 San Luis Pass) at the Concierge Desk on the second floor same dates and times as above. Please don’t pressure our staff to allow you to go to your property before 4:00 p.m.  There’s plenty to do while you wait – enjoy our beaches, take a walk on the seawall or visit a local attraction, or enjoy the resort facility if you have reserved a condo.  Sometimes, it may be necessary to delay check-in beyond 4:00 p.m., but that is extremely rare.  We ask that you call our office well in advance to arrange an afterhours check-in, late check-ins are by appointment only and will be accessed a minimum late fee of $50. ONLY THE GUEST ON THE RENTAL AGREEMENT CAN CHECK-IN AND RECEIVE KEYS. DRIVERS LICENSE AND CREDIT CARD USED FOR THE PAYMENT MUST BE PRESENTED AT TIME OF CHECK-IN. A Security Deposit if required is due at time of check-in and is payable in the form of a traveler’s check, money order, cashier’s check or debit card with pin number.

DEPARTURES: CHECK-OUT IS 11:00AM unless otherwise approved in writing to avoid charges. Return all keys by 11:00AM-key drop is left of front door (Diamond Beach Resort guests MUST leave keys, fobs, and garage pass on site as directed or guest will be charged for replacements). The home with its furniture, furnishings, exterior furniture should be as you found it. Just tidy up, clean and put away kitchen items, remove items from washer and dryer, empty and clean refrigerator and dishwasher. Remove all trash to appropriate exterior container. Additional trash must be secured in tied trash bags. Leave linens on beds and towels in bathrooms, no need to wash them the housekeepers will take care of that. Reset thermostat to 78 degrees and the refrigerator/freezer on a medium setting. Lock all doors and windows and turn off all lights, ceiling fans and close blinds.

CANCELLATIONS AND REFUNDS: We realize that unforeseen circumstances could cause you to cancel your reservation therefore please note our cancellation policy. Once the reservation has been confirmed any cancellation will invoke the cancellation policy below.
Non-payment or receipt of rental agreement: At the discretion of Sterling Realtors the reservation may be cancelled if the payment and signed rental agreement are not received within 3 days of reservation at which time the following cancellation polices will go into effect.

Cancellations within 30 days of arrival: The total rental fee plus all taxes, fees, and applicable travel insurance premium will be forfeited. If travel insurance was purchased, a possible claim for refund may be made through Rental Guardian.
Cancellations more than 30 days of arrival: Guest will be charged the non-refundable $75 reservation fee, $150 cancellation fee, and applicable travel insurance premium.
Refunds: A refund check or credit to the credit card will be issued within 30 days after cancellation.

ACCIDENTAL RENTAL DAMAGE FEE: An Accidental Rental Damage Protection Program has been provided that covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to Sterling Realtors LLC management prior to your check-out. The Program will pay a Maximum Benefit of  $500  at a mandatory cost of $45.

BEACH RULES: Open fires, fireworks, alcohol, and glass containers, are not permitted. Place trash in plastic tied bags and place in green city containers. DUNES ARE OFF LIMITS and subject to fines. Seaweed can’t be removed but a pathway can be made as needed. Driving any vehicle on the beach is limited to public beach parking areas and other limited areas.

CABLE/DISH/INTERNET/WIFI/TV/TELEPHONE: Service for these items can be unreliable on Galveston Island due to the harsh conditions caused by salt and wind. We cannot guarantee that they will be working properly during your visit and are unable to offer any refunds for service disruption. We will make every attempt to trouble shoot the problem and have repaired as quickly as possible.

CLEANING: A standard clean is included in your rental fees. Extra fees will be charged for excessive cleaning, trash removal, etc.

COMMUNITY/SUB-DIVISION: Amenities are available at the discretion of the resort or property. A usage fee may be required for you and/or your guests. There are no representations, guaranties, warranties, or liabilities assumed as it pertains to any of the amenities offered by the resorts or subdivisions of the rental properties.

DISTURBANCES: All loud music or noise is not permitted and subject to the Police being called.

EVACUATION: Guest agrees to evacuate the rental property when the City of Galveston orders a mandatory evacuation or Sterling Realtors requires a precautionary evacuation to prepare for an impending storm.

GRILLING: Charcoal/Gas grilling is only permitted outdoors on ground level. Condos are allowed electric grills on patios. All grills must be cleaned and cooled charcoal ashes must be properly disposed of (not dumped in yard or left in grill) to avoid charges.

KEYS: Lost keys may require the lock to be changed and Guest will be charged accordingly.

LINENS: Linens have been provided for your use and standard beds have been made and linens will be provided for upper bunks, futons, sleeper sofas, etc to made by the guest as needed. Guest will be charged for any stained, damaged, or missing items. NO LINENS ARE TO BE TAKEN TO THE BEACH OR POOL. Please bring your own beach towels.

LOCK OUTS: Come by the office to get a key during office hours or call for after hours. Guest is subject to lock out fee.

LOST ITEMS: Don’t forget to remove all personal items as we are not responsible for lost items. There is a $25 minimum charge for recovery of lost items and items MUST be picked up  at our office in person or via a pre-paid pick up service by UPS or Fed Ex within 10 days of check-out.

MAINTENANCE: Notify the office in writing of any maintenance items that need repair or replacement as they occur. Standard items i.e. HVAC, major and minor kitchen appliances, etc. will be reasonably serviced as needed. Courtesy items provided by the owner i.e. additional electronics, porch furniture, recreational games, etc. may not be serviced by this office. NO RENTAL DEDUCTIONS WILL BE MADE FOR ANY FAILURE TO OPERATE. Service charge maybe assessed to guest if there is guest liability or item is found to be in working order.

OCCUPANCY: Our properties are rented to family groups and responsible adults YOU MUST BE 25 YEARS OLD OR OLDER IN ORDER TO RENT OUR PROPERTIES (BEACHSIDERS 30 YEARS). The properties are rented for family vacations only and do not allow for parties, company gatherings, weddings, proms, youth groups, or any similar events unless otherwise authorized in writing by Sterling Realtors. In no event shall the rental property be occupied by more persons than is listed on the rental agreement.

PARKING: Cars of all occupants are to be registered with the office. Do not obstruct vehicular traffic, park in driveway and not the lawn or on the neighbor’s yard. RV’s, campers, or tents are not allowed unless previous written permission was obtained. Golf carts must have licensed drivers and non-street vehicles are not permitted.  Diamond Beach allows for 2 vehicles to park on premises and paid parking on Seawall is also  available.

PETS: Pet Friendly homes have a non-refundable pet fee of $100.  One small breed housebroken dog is allowed and any other exceptions must be agreed to in writing prior to reservation being made.  Any undeclared pet will be cause for immediate eviction and cause for charges as stated above in addition to having the property made free of hair, dander, damage, etc. Remember to keep pet leashed and remove all dog waste. Additional charges for extra cleaning, damages, and defleaing may be assessed as needed.

POOLS/HOT TUBS: These should be used at your own risk, abide by any posted notices of use and availability made by the community or resort. Amenities are available at the discretion of the resort or community. A usage fee may be required for you and/or your guests. There are no representations, guaranties, warranties, or liabilities assumed as it pertains to any of the amenities offered by the resorts or subdivisions of the rental properties.

REFRIGERATOR: It will take some time for your food and beverages to cool, if they were not cool to begin with or if it was over loaded. Remember you have most likely had the door open for quite awhile loading it up and the unit has become warmer.


THERMOSTAT: Do not set lower than 72 degrees to avoid freezing up the compressor causing the unit to stop cooling . Keep doors and windows closed when the air conditioning or heat are turned on.

TRASH: All trash for the homes should be placed in the green receptacles provided downstairs. Pointe West condos located at the Beach Club should be placed in one of the 4 dumpsters downstairs, all other condos have trash chutes located on each floor.

TRAVEL INSURANCE: OFFERED BY RENTAL GUARDIAN is optional but is highly recommended and provides coverage for you and your vacation investment at a cost of just 7% of the total rental fee plus taxes and fees. Once policy is purchased the premium becomes non-refundable. TRAVEL INSURANCE MUST BE PURCHASED PRIOR TO YOUR FINAL PAYMENT, SO PLEASE LET US KNOW IMMEDIATELY IF YOU ARE INTERESTED IN PURCHASING.
